What Works

Lessons Learned:

  1. Recorded Fishbowl Conversations: The recorded fishbowl conversations were originally uploaded and accessed through the DEI SharePoint Site. Once the planning team learned that Microsoft Stream can count the views on the video, the team began uploading to Microsoft Stream and sharing the link with All CHA.
  2. Live fishbowl conversations with Q&A session: Beginning in March 2022, the team began planning for 1 one hour session that includes the fishbowl conversation with subject matter experts and time for a Q&A session. This hopes to boost participation and decrease the amount of meeting that are scheduled in order for staff to participate.

 

Strategy

For the next fiscal year, the team plans to integrate this challenge with the DEI committee. This will allow for more individuals to participate in the planning and delivery of the fishbowl conversations and open forums/Q&A sessions. Going forward, the discussions will be bi-monthly, and members of the DEI committee will be able to sign up for the month that they would like to host. The committee members will be able to decide on the topic, subject matter experts, and times. This collaboration will allow for more cross-sector partnership building.

 

Description of the Baseline

Target: The target set for the first fiscal year was to have 2 activities hosted per month. One of the activities was to be a fishbowl conversation and one was to be an Open Forum/ Q&A Session.

The fishbowl conversations and open forum did not happen in the month of January. The team was unable to gather and schedule subject matter experts due to the holidays at the end of December and the beginning of January. Instead, the team found other YouTube and Training videos to send to staff.

Notes on Methodology

Fishbowl Conversations: A fishbowl conversation is a form of dialog that can be used when discussing topics within large groups. Four to five chairs are arranged in an inner circle. This is the fishbowl. The remaining chairs are arranged in concentric circles outside the fishbowl. A few participants are selected to fill the fishbowl, while the rest of the group sit on the chairs outside the fishbowl and listen to the discussion. As our first year of the fishbowl conversations were in a virtual format due to in-person meeting restrictions, the facilitators and subject matter experts would join in a Microsoft Teams meeting for one hour and record the session. That session was then edited into a video format and shared agency-wide. For the live fishbowl conversations, the first was more of training around what the challenge is and this was not recorded.

Live Fishbowl Conversations

Open Forum/Q&A Sessions: The open forum sessions are scheduled for one hour the week following the launch of the fishbowl conversation. This idea began as a way for staff to watch the fishbowl conversation and then meet together to discuss what was learned and talk through any questions they have.
